Terms of service.

Who provides the service. Fleet Tracker is run by a sole trader based in England. Email: info@thefleettracker.co.uk. Fleet Tracker is not a limited company and is not VAT-registered, so no VAT is charged.

Version 2026-10. These terms apply to Fleet Tracker accounts and paid subscriptions. If you are a consumer, nothing here affects your statutory rights.

1. The service

Fleet Tracker is an online record of your vehicles, their compliance dates, costs, documents and history. Vehicle data from the DVLA and valuation providers is supplied as-is and may be incomplete or out of date; always check official sources before relying on it, especially MOT and tax dates.

2. Your account

You must be 18 or over and give accurate details. Keep your password private and turn on two-step verification. You are responsible for the people you invite to your fleet and the role you give them.

3. Free trial

New fleets may get a free trial; its length is shown when you sign up. No card is needed. At the end of the trial your fleet becomes read-only unless you choose a plan.

4. Subscriptions and payment

Plans are billed monthly or yearly in advance through our payment provider and renew automatically until cancelled. The price is shown before you pay. No VAT is charged. We'll give at least 30 days' notice by email of any price change, which applies from your next renewal; you can cancel before it takes effect.

5. Failed payments

If a payment fails, we retry it automatically and we email you. After a grace period your fleet becomes read-only until payment succeeds. Your records are not deleted because of a failed payment.

6. Cancelling

Cancel any time from Billing. Access continues to the end of the paid period. See the refund and cancellation policy, including your 14-day cancellation right.

7. Acceptable use

Don't upload unlawful content, malware or other people's personal data without a lawful basis; don't try to access other fleets, overload the service or resell it.

8. Your data

You own your records. We process them to provide the service as described in the privacy policy. You can export your data at any time. If you close your account, records are deleted except billing records we must keep (usually 6 years).

9. Availability

We aim for the service to be available at all times but can't guarantee it. Planned maintenance is announced in advance where possible.

10. Liability

We don't exclude liability for death or personal injury caused by negligence, fraud, or anything else that can't be excluded by law. Otherwise, our total liability in any 12 months is limited to the amount you paid us in that period. We aren't liable for missed renewals, fines or losses caused by relying on the service instead of official reminders, or for business losses.

11. Ending the service

We may suspend accounts that break these terms. If we close Fleet Tracker we'll give at least 60 days' notice, refund unused prepaid time, and let you export your data.

12. Law

These terms are governed by the law of England and Wales. Consumers in Scotland or Northern Ireland may also bring claims in their local courts.
